How we built an event management system with entry codes and live attendance

Running an event sounds simple until check-in day. Hundreds of names on printed lists, volunteers searching for spellings, people waiting in line, and afterwards someone spends a whole evening typing up who attended. One of our clients asked us to replace all of that with a simple system.

The problem

• Slow check-in. Finding a name on a paper list takes time, and queues form quickly.
• No live picture. Organisers only knew how many people came after the event was over.
• Messy records. Attendance had to be typed up by hand for reports and certificates.

What we built

We built a web-based event management system that works on any phone or laptop, with no app to install.

• Online registration. Participants register for the event and their details go straight into the system.
• A unique entry code for every participant. Each person receives their own code. It can't be guessed, and each code works only for that person.
• Check-in in seconds. At the venue, volunteers enter or scan the code and the person is marked present instantly. If a code has already been used, the system says so.
• Live attendance dashboard. Organisers see who has arrived, in real time, from anywhere.
• Reports in one click. Attendance lists can be downloaded after the event, ready for records, follow-ups or certificates.

The best event software is the one volunteers can use on their first try, on their own phone.

What changed for the client

Check-in became a quick code check instead of a hunt through paper lists. Organisers could see attendance as it happened instead of guessing, and the end-of-day typing work disappeared, because the records were already complete.
